General Overview of Responsibilities

  • Block preparation and implementation
  • Scheduling and planning of the blocks
  • Implementing the Medical Curriculum of the College
  • Flagging faculty claims
  • Maintaining all academic records of medical students by working with Student Academic Management System (SAMS)
  • Process faculty compensation
  • Inviting and assisting Block Coordinators
  • Inviting/assigning lecturers/tutors
  • Inviting/assigning invigilators for examinations
  • Functioning as the main resource for students, faculty, and staff seeking information and/or services relating to the Medical Program
  • Confirming the daily schedules of the running blocks to Student Affairs and full-time faculty or joint appointees
  • Process students' official transcripts requests
  • Coordinate all assessment tasks in accordance with the Assessment Procedures
  • Booking lecture Halls, Laboratory and Large Auditorium for lectures, sessions and other academic activities
  • Providing Student Affairs Department with all students’ information
  • Issue students' warning letters as appropriate, such as: late arrival, ethical, dismissal…etc.
  • Participate in the development and implementation of new policies and procedures
  • Actively participate in committee/programs as directed by Dean
  • Communicate and develop the expectation levels and vision of the College
  • Evaluating administrative staff performance
  • Approve and sign faculty claims which are related to compensation
  • Perform administrative tasks, such as memos, letters, providing a reference number, mail distribution, processing information files and other duties
  • Provides a variety of tasks dealing with departmental equipment, supplies and educational resources, including ordering, receiving and processing…etc.
  • Send-out & Track ECFMG/EICS/Medical Council of Canada documents via Office Services and other documents related to students
  • Review of Sydney materials for updates
  • Produce student letters e.g. Kaplan, reference, elective, workshops…etc.
  • Arrange elective orientation & send-out notifications and receive/process completed evaluations from KAMC & external hospitals
  • Process SP payments
  • Manage the petty cash – disbursements
  • Room booking
  • Chief and block coordinator letters
  • General tracking incoming/outgoing documents (through the mail)
  • Organize and maintain department files – hard & soft copy
  • Ordering department/office stationery, supplies…etc.
